Our client, a boutique CPA Firm located in Dallas specializing in accounting, tax and advisory services to entrepreneurs, private businesses, professionals and family office organizations, seeks to add an Accountant and Administrative Associate
 
Duties and Responsibilities:
Handle selected accounting responsibilities which include:
  • Paying checks
  • Processing deposits
  • Processing payroll and filing payroll reports and deposits
  • Accounting for the purchase and sale of investment assets
  • Accounting for oil & gas royalties and severance taxes
  • Ensuring that all assets and liabilities on financial statements are properly supported
  • Handling closing the year-end books including the equity accounts
  • Preparing monthly or quarterly financial information and explaining it to the client
  • Coordinating with tax staff on tax return preparation
  • Inputting data into the tax software
  • Maintaining a close relationship with the client including lunches, etc.
Handle Selected Administrative Functions:
  • Research and negotiate of major contracts such as telecommunications, etc. and make presentations to leadership including all terms, monthly costs, and delivery/installation details
  • Look for ways to reduce administrative and indirect costs and make the office more efficient and effective
  • Assist in new computer purchases, making sure order is complete, delivered on time, properly installed, etc
  • Ordering and receiving supplies
  • Assisting with engagement letters annually
  • Assisting with Holiday cards to clients annually
  • Maintaining fixed asset detail listing and reconciling to QB general ledger
Learn the monthly billing process and serve as the back up for this position:
  • Learn Imagine Time and ensure full understanding of its reporting capabilities
  • Review amounts with applicable manager and document any release of time without billing
  • Review the receipts weekly and work with Shareholders/Leadership to monitor outstanding receivables
  • Ensure that billings are in accordance with the engagement letters and that every item on a transmittal letter has been covered in a bill
Handle HR and personnel matters:
  • Manage the relationship with eESI
  • Ensure that payroll reports are accurate and properly filed by eESI
  • Work with leadership on health insurance options for employees
  • Monitor the PTO policy and employees’ compliance with the policy
  • Work with Admin Associate to ensure that new employees are properly set up on their first day with computer, telephone, business cards and all forms for employment
  • Design an employee evaluation process that includes setting of goals, assistance in helping each person achieve their goals, ensuring that each person is provided with meaningful feedback at mid-year and at the end of the year
  • Develop a checklist for terminating employees (both voluntary and involuntary) which incorporates continuation of insurance, if applicable, return of all company owned equipment and materials, cutoff from the computer network, etc.
  • Assist leadership in obtaining salary comparable and make recommendations regarding salaries and bonuses
Desired Skills and Experience:
  • 5 - 10 + years’ experience in a small business, small CPA firm, or family office environment with relevant exposure to accounting, finance, and administrative responsibilities.
  • Professional and presentable individual who can be trusted to exercise maturity, judgment and discretion at all times. Requires an ability to effectively interface with clients and coworkers while simultaneously performing multiple tasks with accuracy and attentiveness to detail.
  • 10-15% overtime may be required during peak busy season (Mid-August to Mid-October)
Education and Technical Skills:
  • Bachelor’s Degree preferred.
  • QuickBooks experience required
  • Microsoft Office Suite including Outlook
  • Experience with Imagine Time desirable
