Our client, a talent solutions/recruiting firm located in Plano, seeks to add a Project Coordinator. The Project Coordinator will primarily be tasked with administrative duties related to recruiting and client related projects. This is a Temp to Perm structured position.

  • Complete Research Requests using Google, LinkedIn and other search engines.
  • Provide Personal/Executive assistance (organization, planning and calendaring) as requested.
  • Interface with Service Providers to request/follow up on maintenance and repair requests. 
  • Organize Promotional Activities for Recruiters as requested by management (shopping for gifts, contest tracking, etc.).    
  • Update Requirements Docs & Sourcing Strategy Docs following intakes.               
  • Send interview confirmations to candidates.      
  • Navigate through CRM for Candidate Prospects missing contact information. Using available tools, research contact info and update Candidate Status in CRM.
  • Export weekly sales activity and other project data as requested from CRM utilizing Excel.
  • Prepare Client Reports including exporting from CRM and formatting in Excel.
  • Check 3rd party software platform for new applications.                              
  • Perform miscellaneous administrative duties including errands, shopping and stocking supplies, carrying out trash and overall ensuring offices are kept tidy.              
Additional Future Responsibilities:       
  • Measure stats on field jobs including total number of candidates, response rate, and submittals.             
  • Prepare monthly KPI Report for CFO.    
  • Track Expenses for Company/Expense reports.                
  • Prepare Client Proposal/Deliverable Prep.          
  • Create Pipeline/Forecast Report               .
  • Experience supporting a sales team, or a customer facing team.
  • Ability to navigate a CRM to find client profiles and perform data entry and status updates.
  • Comfortable exporting data from CRM, formatting in Excel and checking data for accuracy.
  • Experience using Excel to format, sort, and prepare reports for printing.
  • Proficient use of Outlook for email and calendaring.  Experience in high volume calendaring (3-7 meeting inputs sent or received per day).
  • Accustomed to using Tasks in Outlook for organization, or a project management tool (basic use) like Asana or Basecamp.  Asana would be a plus!
  • Basic tech savvy, to support team in printers, computers and phones. 
  • Comfortable working within tight timeframes with high sense of urgency.
  • Detail oriented and accurate. 
  • Comfortable running errands, picking up/dropping off items as needed.  
  • Degree, some college or equivalent experience will be considered.
